Hoërskool Gerrit Maritz High School needed an easy to use, all-in-one debt management system, especially during the difficult times they faced during lockdown. They found that EduSpecs’ Debt Management Program was just what they needed.

Q1: How did you manage Debtors before EduSpec?

A: The financial system that the school uses is not really designed for school debt management. With schools, there are a lot more legal acts and regulations to comply with in comparison with a normal business.

As you can imagine, there are literally 1,000’s of accounts to correlate every month over and above typing the individual letters, sending SMS’s, follow up on emails, and making phone calls. In order for me to know for sure what the correspondence with each debtor was, I had to create hard copy debtor files by printing emails and letters.

On top of all this, the SMS system was on an entirely different programme. You end up having to manage too many different systems to try and make sure you have all bases covered – keeping in mind that COVID AND EXEMPTION APPLICATIONS brought about its own set off challenges.

Q2: How did EduSpec’s Debt Management Program assist you in managing outstanding school fees?

A: Working with the public sector, especially education, can often be a rather sensitive matter. Therefore, you need as much support and structure as you possibly can build in to effectively manage the accounts. Thankfully, EduSpec came to my rescue. 

During the COVID Lockdown, I could process exemption applications for the SGB and populate emails and SMSes from anywhere – anytime. We had a good response from the parents either in payment or payment arrangements. 

Updating information was a breeze – considering it was all intact and could be done remotely. We are now in the process of handover and even that is linked to our debt collectors at the push of a button.

Q3: How easy is it to use EduSpec’s software?

A: EduSpec’s simple but effective step-by-step system keeps all correspondence and follow-ups intact took a huge burden off my shoulders. The software is compatible with the financial and school system and they did all the hard work.  Once you get the hang of it, you will not look back.
